Idrættens Hus, Hotel & Konference P/S (hereinafter “Idrættens Hus”) protects your data by complying with applicable laws regarding the processing of personal information. Below, you can read about what information we collect, why we collect it, who has access to it, and what rights you have.

Third parties that receive data

Meta Pixel (Meta Platforms) – marketing: measuring and targeting ads on Facebook and Instagram.

LinkedIn Insight Tag (LinkedIn) – marketing: measuring and targeting ads on LinkedIn.

Microsoft Clarity (Microsoft) – analytics: tracks clicks, scrolling, and movements on the page so we can see how the website is used.

Webflow Analyze and Optimize (Webflow) – analysis: statistics on visits and testing of website content.

Some of these providers are based in the United States. Data is transferred to the United States in accordance with the EU-U.S. Data Privacy Framework or the European Commission’s Standard Contractual Clauses.

Consent and Documentation

We use Consent Pro from Finsweet to display the cookie banner and remember your choice. Your choice is stored in a cookie on your device for 12 months. When you give or change your consent, we store a record of your choice so we can document it. The record contains a random consent ID, the categories you accepted or declined, the time, the page you were on, and the text that appeared in the banner. It does not contain your name or email address. The record is processed by Finsweet and stored with Cloudflare on behalf of Idrættens Hus. Both are U.S. providers, and the transfer is based on the EU-U.S. Data Privacy Framework or the European Commission’s Standard Contractual Clauses.

General‍

Personal data refers to any type of information that can be linked to you to some extent. When you use our website, or if we have entered into a business-related partnership, we collect, process, and store a range of such information. This occurs, for example, when you access content, participate in contests or surveys, register as a user or subscriber, make purchases through the website, or use other services.

We typically collect, process, and store the following types of information: a unique ID and technical information about your computer, tablet, or mobile phone; your IP address; your geographic location; and the pages you click on. To the extent that you enter the information yourself, we also process: your name, phone number, email address, title, address, and any payment information. This typically occurs when you create an account, make a purchase, or as part of our ongoing business relationship.

Safety‍

We place a very high priority on data security and the protection of personal data, and have implemented technical and organizational measures to ensure the protection of customer information, personal data, and other confidential information, and to ensure that data is otherwise processed in accordance with the law.

Purpose‍

The information is used to identify you as a user and—if you have given your consent to receive marketing communications —to show you ads that are most likely to be relevant to you, to record your purchases and payments, and to provide the services you have requested, such as access to IHnet and ongoing communication regarding current projects. In addition, we use the information to optimize our business services and content, including contact information for collaboration and designated contacts for billing our services.

Legal Basis

We process your personal data on the following grounds under Article 6(1) of the General Data Protection Regulation: consent (subparagraph (a)) for cookies used for analytics, marketing, and personalization; performance of a contract with you (subparagraph (b)), such as when you book a room or a meeting or log in to IHnet; legal obligations (point (c)), such as the requirement under the Accounting Act to retain accounting records for 5 years; and our legitimate interest (point (f)) in operating and protecting the website and responding to your inquiries.

Period of storage ‍

We delete personal data when we no longer have a work-related need to process it. The retention period is determined in relation to the obligations Idrættens Hus is subject to under applicable law, auditor oversight, other public authorities, and to ensure documentation.

Specifically, this means: We retain accounting records, such as journal entries and invoices, for 5 years after the end of the fiscal year, as required by the Accounting Act. We delete job applications no later than 6 months after we have made a decision. Your cookie preferences are stored for 12 months.

Disclosure of information‍

If you have consented to marketing, data regarding your use of the website, the ads you receive and, if applicable, click on, your geographic location, gender, and age group, etc., will be shared with third parties to the extent that this information is known. You can see which third parties are involved in the section “Third Parties That Receive Data” above. The information is used for targeted advertising.

In addition, we use a number of third parties for the storage and processing of data. These only process information on our behalf and may not use it for their own purposes.

Personal information such as your name and email address, etc., will only be disclosed if you give your consent. We only use data processors within or outside the EU when the transfer is secured as described above.

Booking

When you book a room, the reservation is made through our booking system at Techotel (picassoonline.techotel.dk), which processes your booking information on behalf of Idrættens Hus. Your consent selections from this website are transferred to the booking system so that they also apply there.

Log in to IHnet

When you log in to IHnet, you do so through Memberstack, which processes your login information (e.g., name and email address) on behalf of Idrættens Hus. Memberstack sets the necessary cookies to keep you logged in. Memberstack is a U.S.-based provider, and your information is stored in the United States. This transfer is based on the European Commission’s Standard Contractual Clauses, which are included in our data processing agreement with Memberstack.

Job Applicants

When you send us an application or an unsolicited inquiry about a job, we process the information you submit, such as your resume, application, and contact information. We use this information solely to assess whether you are a good fit for a position with us. The legal basis for this is Article 6(1)(b) and (f) of the General Data Protection Regulation.

If you are not hired, we will delete your application no later than 6 months after we have made a decision, unless you give your consent for us to keep it longer. If you are hired, your application will be stored in your personnel file.

Please do not include your Social Security number or health information in your application.

Your rights (duty of disclosure)

As a registered individual, you have certain rights that Idrættens Hus, as the data controller, is obligated to fulfill.

You can contact us to find out what personal information Idrættens Hus processes about you, and you can have any incorrect or incomplete personal information corrected. If you wish to have your personal data deleted, have Idrættens Hus restrict its processing, or object to Idrættens Hus’s processing of your personal data, you can contact us as indicated below. You may also contact Idrættens Hus if you wish to exercise your right to data portability.

When we process personal information based on your consent, you have the right to withdraw your consent at any time. You can withdraw your consent to cookies under "Cookie Settings" at the bottom of the page. For other types of consent, please contact us.
